Financial Planning Assistant/Receptionist

Job Purpose:
The primary focus of this job will be office administration, client reception duties, and client report preparation. The ideal candidate will be able to work independently and provide value in a small team based setting. The individual will be instrumental to ensuring our clients have a positive experience, and that daily administrative operations run smoothly. We are looking for someone who can prioritize given job tasks and assist in completing office projects. The most successful candidates will know how to stay motivated and constantly be eager to improve our processes. An entrepreneurial spirit is desired in order for the firm to meet its growth expectations.
About the firm:
Applied Capital Management is a registered investment advisor. The firm was founded 25 years ago to support our clients in the financial planning and investment management process. The firm believes educating and responding to client inquires is of utmost importance.
Being a small company, you will have a hands-on approach to many aspects of the financial planning process. As a team, we build comprehensive financial plans and provide related services to an existing client base and continually endeavor to find new client opportunities. Our firm requires an employee that is well rounded and able to assist and enhance our work flow to help make the team collectively, more efficient. In addition, communicating effectively and clearly with our clients is paramount. This position is an opportunity to be the primary point of contact from our client's perspective and the primary task allocator to our whole office.
Duties:
o Preparing investment and insurance reports for client meetings.
o Maintenance and management of our transactional database.
o Maintenance and management of our Client Relation Management software.
o Ad hoc office projects and audits.
o General office duties (filing, copies, faxing, scheduling, etc.).
o Client billing.
o Scheduling and confirming client meetings.
o Mass mailings and call-outs.
o Mail pick up and distribution.
o Scanning documents for paperless back office.
o Compliance related tasks
o Appropriate escalation of client inquiries.
o Promptly responds to all client inquiries and requests.
o Executes all routine transactions, e.g. change of address, change of beneficiaries, monetary (e.g. fund exchanges) transactions, RMDs, etc.
o Monitors CRM for necessary follow-up.
o Business processing and follow through (entering data, account establishment, and asset transfers), dealing with mutual fund, annuity, and insurance companies.
Skills/
Qualifications:
o Familiarity with the financial planning process and/or securities licensing required (Series 6 or 7 and 63)
o Familiarity with the following software systems is a plus: Morningstar CAMs, Laserfiche, and/or Junxure.
o Proficiency in Microsoft Office (Word, Excel, and PowerPoint) is required.
o Insurance license (Life, Health, and Accident) would be desired, would need to be obtained within 6 months of hire.

o Associates Degree or Higher required.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
